You've grown past the spreadsheet. Your systems haven't caught up.
For manufacturers selling configured product. The order specification is scattered across fields a web form invented, the service desk fields far more enquiries than sales ever fields deals, and nobody records why a deal was lost. We build one system across sales and service, on the HubSpot you already pay for, sitting next to your ERP rather than competing with it.
$4,500 fixed fee. Two weeks. Refunded in full if you say it wasn't worth it, at the readout or afterwards.
Whether you're chasing the order or the one who has to build it.
Every order is configured, and the configuration lives in whatever field the web form happened to create.
Sizes, options, quantities and freight are scattered across the contact and the deal, in properties auto-generated from form labels years ago. There are usually two versions of the same question. The quote number and the job number are typed in by hand, so the CRM holds a reference to the real record rather than the record. Line items sit on quotes and never reach the deal, so nobody can tell you which product lines win, which ones stall, and which ones lead to a second order. And when a deal is lost, nobody writes down why, so you cannot tell whether you're losing on price, on lead time, or to the same competitor every time.
We put the specification on the order where it belongs, connect product to the deal so win rate can be read by line, and make a reason mandatory before a deal can close. Within a quarter you have the loss pattern you have been quoting blind against.
Your service desk is your busiest customer conversation and none of it reaches the account.
Order status, invoice queries, remittance advice, freight updates, returns, warranty claims, price enquiries. In a manufacturer that volume dwarfs the sales pipeline, and it runs in a queue that never touches the account record or the person who sells to that customer. A customer can raise nine warranty tickets in a quarter and still get a check-in call that opens with "how's everything going". Trade shows and field days produce a season's worth of enquiry in three days with no sequence and no owner. Resellers and installers are a tick box on a contact, so the channel that sells for you is the one you can see least. Sales runs on the CRM, the floor runs on the ERP, and now you're being told to "do something with AI" on top of data split across three systems and trusted by none of them.
We put service history on the account where the salesperson can see it, route every enquiry to a named owner the day it arrives, and build one source of truth that sits next to your ERP rather than competing with it. The reseller channel becomes a thing you can report on.
Adoption is a harder room here than most. The office adopts, the floor doesn't, and within a quarter you are back to two versions of the truth. So we run the rollout as a change programme in its own right: a named owner per team, sales and service seeing their own data in the first week, and a system that earns its place by doing the admin they'd otherwise do by hand. If the floor and the office don't use it, it didn't work, and that's our problem to solve, not yours.
AI you can defend to your board.
Your customer and order data is the record of every deal, every service call and every distributor relationship you've got. Any AI touching it has to clear the same bar. In everything we build, every AI action is proposed, reviewed by a named person, approved, and logged. Nothing writes to a customer record unsupervised, ever. This is what we mean by governed AI: every action proposed, reviewed, approved, logged.
Where your data goes, in plain English.
Your customer records stay in your HubSpot, in your accounts, under your access controls. We work under NDA inside your environment, we don't copy records to our systems, and nothing is used to train AI models. When an engagement ends, our access ends with it. If a customer or a distributor asks how their information is handled, you'll have a straight answer.
We don't move your data out of HubSpot to make the AI work, and we don't need access to your ERP to do it. Every AI sub-processor that touches a record is named and documented, and you approve the list, so your board can see exactly which systems are in scope.
What your firm gets, in outcomes.
You find out why you lose
A reason on every lost deal, enforced before the deal can close. Within a quarter you can see whether you're losing on price, on lead time, or to the same competitor every time, and you can price and plan against it.
Service history that reaches the account
Warranty claims, freight problems, returns and order enquiries all land on the customer record. The person about to walk into that account knows what happened last month before they open their mouth.
Revenue you can read by product line
Product connected to the deal, so you can see which lines win, which ones sit in the pipeline for months, and which ones bring the customer back.
One view of every customer, specification included
Every order with its full specification on it, every service call and every parts request against a single customer record. No more piecing the history together across two systems and a filing cabinet.
Distributor and channel visibility
Know what's actually moving through your distributors and where a lead came from, instead of finding out at the end of the quarter, or not at all.
A database that survives staff turnover
When someone leaves the shop floor or the office, the customer history, the service notes and the pricing logic stay. The firm's memory belongs to the firm, not to whoever held the spreadsheet.
We build the system. Your team runs it.
After the audit, we build your revenue system on the HubSpot you already pay for: Marketing, Sales and Service, with governed AI wired through all three. We build it in your accounts, document it, and hand it to your team to own. Then we stay close enough to keep it sharp.
Scope, price and timeline are set by your audit and fixed before a day of build work starts. Proceed within 30 days and the $4,500 audit fee comes off that price.
More than one site or product line? It scales.
Most manufacturers run more than one site or product line, and each has its own pipeline, its own service team, its own data quirks. We build the first end to end, then template and tune it across the others. Each additional site or line costs and takes less than the first, because the hard design work is already done.
